Dear Member
Bucks Phoenix Netball Club would like to welcome you to the Club and provide you with some information of our activities.
All coaching is by qualified trained coaches who have been screened for their suitability for working with young people. These coaches have all undertaken a CRB check.
We welcome parents to all training and competitions and value your support. We are keen to involve parents in the Club and welcome any help or suggestions that you can give.
Club Kit consists of Black and Red Dress, Black Shorts, White socks, Red Hooded Sweatshirt with Bucks Phoenix Logo and optional Black Track Suit, for teams A to C. Other Phoenix teams will play in black polo shirts, red skirts, red hooded club sweatshirt, black shorts with white socks and trainers.
Thank you for completing the Club Membership Form. There is a duplicate with this pack that you might like to complete for your records. For the safety of each member, it is important that the Club is informed of any medical condition or allergies that may be relevant should a player fall ill or be involved in an accident whilst at the Club. Please Note that Bucks Phoenix Netball Club enforces a strict, No Smoking, Alcohol or Drugs Policy.
By joining Bucks Phoenix Netball Club, you have agreed to abide by the Club’s Code of Conduct and Rules which apply to all members and parents/ guardians. You will find a copy of these rules in this pack together with the Club’s Rules and Procedures for our own Coaches and Helpers.
Also included in this pack is a copy of our Club’s Constitution. Our Annual General Meeting is held in June and you will be invited to attend. Further Club Documents and information may be viewed at any time in our England Netball C.A.P.s Registration Book.

- Subscription fees include affiliation to England Netball, and South Bucks Netball Association
- We would ask that you pay the annual subscription fee before June 27th 2011. Cheques should be made payable to Bucks Phoenix Netball Club.
- Please note from time to time there may be further charges for transport to tournaments and competitions, these costs will be kept to a minimum but will be dependant on travel costs and tournament fees.
- In special circumstances, (e.g. cases of hardship etc), fees may be paid weekly, reduced or waived. Members shall be invited to discuss any such matters in confidence with their coach/team manager. A decision about any waivers will be made jointly by the Chairman, Vice-Chairman and Treasurer of the committee. This matter and any information divulged will remain confidential amongst those committee members.
- Deliberate non-payment of fees, excluding special circumstances (see above) could result in the member being asked to leave the club.
Club Fees for Juniors Under 12
- Fees charged for girls in the under 12 squads will be £40 less per annum than general club fees.

Use of Photographic and Video Images of Children/Young People Under the age of 18 |

Policy Statement Bucks Phoenix Netball Club is committed to providing a safe environment for children / young people under the age of 18 to participate in netball. Essential to this commitment, is to ensure that all necessary steps are taken to protect children/young people from the inappropriate use of photographic images.
Bucks Phoenix Netball Club has adopted the following good practice guidelines issued by England Netball: |
Publishing ImagesThrough the use of a Consent Form, we will ask for the permission of young players and their parents/carers to take and use their image.

Consent form for the use of photographs or video (Parents and children).
Bucks Phoenix Netball Club recognises the need to ensure the welfare and safety of all young people in sport. In accordance with our child protection policy we will not permit photographs, video or other images of young people to be taken without the consent of the parents/carers and children. The Bucks Phoenix Netball Club will follow the guidance for the use of photographs a copy of which is available from Alison Batey Welfare Officer Phoenix Netball Club or you can down load a version from the England Netball website. The Bucks Phoenix Netball Club will take all steps to ensure these images are used solely for the purposes they are intended. If you become aware that these images are being used inappropriately you should inform Phoenix Netball Club immediately. I hereby grant only Bucks Phoenix Netball Club and their approved agents the right to use the images resulting from the above mentioned photo / film shoots. This includes any reproductions or adaptations of the images for all general purposes (newspaper, magazine or other printed promotional articles and including Internet web page content) and at any time, in relation to the work of Bucks Phoenix Netball Club. Bucks Phoenix Netball Club |
The committee has decided to introduce certain required items so that when players represent our club in match games, tournaments, regional and national league’s it will give our club a professional and competitive look and one that we are easily identified with, it also avoids players turning up in inappropriate clothing for match games etc.
We are fully aware that this can be an expensive layout of funds, so we have agreed to accept post dated cheques should anyone have difficulty financially. We would ask that all cheques are written out and handed to us when your first order is requested.
We are unable to accept credit cards as payment.

Bucks Phoenix Netball Club Club Rules And Code Of Conduct For Members |
Bucks Phoenix Netball Club is fully committed to safeguarding and promoting the well-being of all its members. The Club believes that it is important that members, coaches, administrators and parents associated with the club, should at all times show respect and understanding for the safety and welfare of others. Therefore junior members are encouraged to be open at all times and share any concerns or complaints that they may have about any aspect of the club with their parent/guardian, Club Chairman or with any Committee Member or Team Coach. We do not encourage young people to keep secrets.
As a Member of the Club you are expected to abide by the following Rules for members:-
- All members must play within the rules and respect the officials and their decisions.
- All members must respect opponents.
- Members must never use bad language on the court or whilst representing Bucks Phoenix Netball Club.
- Junior Members are not allowed to smoke, consume alcohol or take drugs or use any banned or dangerous substances whilst at the Netball Club or when representing Bucks Phoenix Netball Club.
- Members should keep to agreed timings for training and competitions or inform their coach or team manager if they are going to be late.
- Members must wear suitable kit – trainers, socks, tracksuit bottoms, shorts/netball skirt, tee-shirt and sweatshirt if weather is cold for training sessions. Bucks Phoenix Netball Club kit must be worn for all match sessions i.e. red and black dress, black shorts, red hooded sweatshirt, black track suit, white socks, predominately white trainers. Finger nails must be cut short and no jewellery should be worn during any club training or match sessions. Suitable refreshments such as plenty of water and light snacks should be brought to all netball sessions.
- Members must pay all Club Fees, Away Match Fees and Travel Costs promptly.
- Whilst in the charge of Bucks Phoenix Netball Club, Junior Members must stay with their team coach /manager during match or training sessions and must advise them if they wish to leave. Junior members must never wander off alone at any time.
- Junior Members must always say NO to strangers and report anyone suspicious to their Team Leader or responsible adult.
- Junior Members are always encouraged to speak to their parent/guardian or team leader if there is anything or anyone that makes them feel uncomfortable. We do not like secrets at Bucks Phoenix.
- After training sessions or home matches, members are expected to help put away equipment and to leave court areas clean and tidy. Rubbish should be placed in the bins provided or taken home.
- Following training or matches, junior members must be collected promptly by a known responsible adult either from the court area at Kingsmead Netball Centre or at an agreed point after away matches/tournaments.
- Remember to enjoy Netball, adopt good sportsmanship, and treat other people as you would like to be treated yourself.
Code of Conduct, Charter and Protection Policies for Coaches
As a Coach for Bucks Phoenix Netball Club, I will be responsible to the Head Coach and Chairman of the Club and will abide by and work within the following guidelines;
- To respect the rights, dignity and worth of every person and treat everyone equally within the context of their sport.
- To place the well-being and safety of the performer above the development of performance.
- To cooperate fully with other specialists, e.g. other officials, doctors, physiotherapists, in the best interests of the performer.
- To promote the positive aspect of the sport and never condone rule violations or the use of prohibited substances.
- To ensure fair play and equal opportunities for all are maintained, and to act responsibly within ‘duty of care’ guidelines.
- To develop an appropriate working relationship with performers based on mutual trust and respect. Coaches must not exert undue influence to obtain personal benefit or reward.
- To encourage and guide performers to accept responsibility for their own behaviour and performance.
- To ensure that the activities are appropriate for the age, maturity, experience and ability of the individual.
- To consistently display high standards of behaviour and appearance.
- To work within the ‘duty of care’ guidelines.
- To inform the Head Coach in advance of any sessions that cannot be attended.
- In the event of an incident/accident, put the welfare of the injured person first and follow accident guidelines: Stay calm but act swiftly and observe the situation. Is there danger of further injuries? Deal with the rest of the group and ensure that they are adequately supervised and re-assured. Do not move someone with major injuries. Wait for the emergency medics. Complete the incident/accident report book.
- I will always ensure that I do not put myself in compromising situations – I will ensure that I am never left alone with an individual child that is not my own or take individual children on car journeys or invite them to my home.
- If a child requires physical support, this will be done openly and within the England Netball Guidelines.
- I will encourage parents to take responsibility for their own children in changing areas.
- I will never use inappropriate language or behaviour towards any child.
- I will always encourage an open environment and invite young people to offer their views and opinions.
- I will always act upon any allegation made by a child.

Equal Opportunities Policy
Bucks Phoenix Netball Club is committed to ensuring that equity is incorporated across all aspects of its development. In doing so it acknowledges and adopts the following Sport England definition of sports equity:
- Sports equity is about fairness in sport, equality of access, recognising inequalities and taking steps to address them. It is about changing the culture and structure of sport to ensure it becomes equally accessible to everyone in society.
- The club respects the rights, dignity and worth of every person and will treat everyone equally within the context of their sport, regardless of age, ability, gender, race, ethnicity, religious belief, sexuality or social/economic status.
- The club is committed to everyone having the right to enjoy their sport in an environment free from threat of intimidation, harassment and abuse.
- All club members have a responsibility to oppose discriminatory behaviour and promote equality of opportunity.
The Club will deal with any incidence of discriminatory behaviour seriously, according to club disciplinary procedures.
Disciplinary Policies
Bucks Phoenix Netball Club wishes to promote good netball skills and competition for the members of the Club. It is important that the behaviour of an individual does not jeopardise the safety or enjoyment of other club members.
If a member deliberately acts against the Club’s Code of Conduct and or Club Rules:
- In the case of a junior member the behaviour shall be reported to the Parent or Guardian and in the presence of the parent/guardian shall be asked to modify her behaviour and to act within the club rules and code of conduct. The parent or guardian shall be asked in confidence if there are any extenuating circumstances which might explain any anti-social or bad behaviour.
In the case of a Senior Member, they will be asked to modify their behaviour and act within the Club Rules and Code of Conduct.
- If the junior member’s anti-social behaviour persists then with the parent /guardian present, the junior member will be issued with a verbal warning of exclusion from the club. In the case of a senior member then a verbal warning of exclusion to the club will be issued direct.
- In extreme circumstances, a final and written warning will be issued either direct to the senior member or to the junior member and their parents/guardians.
- Finally, any member who still persists in not abiding by the Club’s Rules and Code of Conduct will be notified in writing (via parent/guardian where applicable) that they have been excluded from the Club.
- A log of any complaints will be kept by Bucks Phoenix Netball Club.
In the unlikely event that any parent/guardians or family members, act in such a way as to contravene the Club’s Code of Conduct or to violate the Club’s Equal Opportunities Policy, then:
- The parent/guardian family member shall be asked to modify their behaviour and to act within the Club Rules and Code of Conduct.
- If the anti-social behaviour persists, the person involved shall be asked to leave the premises.
- In extreme circumstances, where parents/guardians/family members continually refuse to abide by the Code of Conduct, the person concerned shall be requested in writing not to attend any club sessions.
- Finally, where any parents/guardians/family members continually cause distress, abuse or discriminate against any other club member or official, they may be asked to withdraw their child’s membership from the Club. If circumstances dictate, then the relevant authorities may be notified.
- A log of any complaints will be kept by Bucks Phoenix Netball Club.
Complaints against Bucks Phoenix Netball Club
Members or parents/guardians who wish to complain about any aspect of the club or any of its committee, coaches, managers, officials or helpers are asked to do so verbally to:
- The official concerned (this may be by-passed if so wished).
- If the issue is not resolved, any complaint should be made verbally and in writing to the Club Chairman or Vice-Chairman.
- Any matters will be dealt with by the committee and any appropriate measures enforced.
- In extreme circumstances, an official will be asked to leave the club.
- If a member/parent/guardian is still unsatisfied, a written complaint may be sent to South Bucks Netball Association.

Bucks Phoenix Netball Club – Constitution
The Constitution was adopted in February 2007.
This Club shall be called Bucks Phoenix Netball Club or The Club within this document.
The Committee:
The Executive Committee shall consist of at least seven (7) members, including Chairman, Vice-Chairman, Secretary and Treasurer. All posts are honorary (i.e. not paid positions).

Up to six (6) additional committee members may also be appointed.
A quorum will consist of at least five (5) Executive Committee members.
A committee meeting shall be convened by the Secretary of the Club and shall be held no less than twice per year.
Aims and Objectives:
The aims and objectives are:
To offer coaching and competitive opportunities in netball to girls and women from school age 11 years.
To promote the Club within the local community and within netball.
To promote the Club within the local community and within netball.
To ensure a duty of care to all members.
To provide all its services in a way that is fair to everyone.
To ensure that all present and future members receive fair and equal treatment.
To ensure that no player will be excluded on the grounds of race, colour, creed, physical handicap or financial status.
Membership:
All members and their parent/guardians will be issued with a registration pack. This will include a copy of, Registration Form, Club Rules and Code of Conduct for Junior Members, Code of Conduct for Parents/Guardians, Code of Conduct, Charter and Protection Policies for Regular Club Helpers, Equal Opportunities Policy, Club Fees, Disciplinary and Complaints Procedures.
Membership will also be dependant upon:
Payment of annual membership fees.
Signed parent/child agreement (copied in registration pack) where applicable.
All Members, parents/guardians abiding by the Club Rules and Code of Conduct.
Membership Fees:
Membership fees shall be set annually and agreed by the Executive Committee. Fees will be payable annually in advance of the start of each year and will be dependant upon costs arising for court hire and purchase of equipment etc. Obligatory affiliation and insurance fees will also be payable yearly.
Fees charged to those members attending tournaments in order to represent Phoenix will be assessed according to travel and entry costs and will be agreed by a quorum of Executive Committee Members.
Special Circumstances and Non Payment of Fees:
In special circumstances (e.g. cases of hardship etc), fees may be paid weekly, reduced or waived. Members/Parents/Guardians shall be invited to discuss any such matters in confidence with their team coach and a decision about any waivers will be made jointly by the Chairman, Vice-Chairman and Treasurer of the Committee. This matter and any information divulged will remain confidential amongst those committee members.
Finances:
All Club monies will be banked in an account held in the name of the Club. The Club Treasurer will be responsible for the finances of the Club and the financial year will end on 31st May.
A statement of accounts will be presented by the Treasurer at the Annual General Meeting. Any cheques drawn against the Club funds will hold the signature of the Treasurer and one other, of two (2) previously agreed officers.
In the event of winding up or dissolution of Phoenix Netball Club, any remains after the satisfaction of all its debts and liabilities, may not be given or distributed amongst the members of the Committee of the Club, but shall be transferred to some other organisation having objectives similar to Phoenix Netball Club, who will further the development of amateur sport.
The Executive Committee will be responsible for adopting new
Policy, codes of conduct and rules that affect the organisation of
PhoenixNetball Club.
The Executive Committee will have the powers to appoint sub-
Committees as necessary and to co-opt new members to the committee in the event of members leaving.
The constitution will only be changed through agreement by a
Majority vote at an AGM or EGM.
